Refund and cancellation policy
This policy covers deposits, cancellations, rescheduling, and refunds for consultancy engagements.
Eligibility
Refunds apply to fees paid to Reason Flowcore Co., Ltd. for scheduled engagements such as Editorial Audience Reviews, Visualisation Ateliers, Calendar Readership Clinics, and Subscriber Retention Briefs.
Timeframe
Cancellation notices must be sent in writing to hello@reason-flowcore.click. The clock starts when we confirm receipt of your message.
Full and partial refunds
- Cancel fourteen or more days before the scheduled start: full refund of fees paid, minus any non-refundable travel booked at your request.
- Cancel seven to thirteen days before start: fifty percent refund of fees paid for unused work.
- Cancel fewer than seven days before start: deposit is retained; remaining prepaid fees for unfinished stages may be partially refunded at our discretion after reviewing work already completed.
Non-refundable items
- Travel and room hire purchased at your request once tickets or venues are confirmed
- Custom printed briefing packs already produced for a fixed date
- Completed analysis stages delivered before cancellation
Refund process
Email hello@reason-flowcore.click with your organisation name, engagement title, and payment reference. We confirm eligibility within five business days.
Processing time and method
Approved refunds are returned within fourteen business days to the original payment method unless another method is required by your accounts team and agreed in writing.
Cancellation and rescheduling
You may reschedule once without penalty if you give at least ten days’ notice and a new date within sixty days is available. Further reschedules may incur a continuity fee of ten percent of the engagement fee.
Deposits and no-shows
A forty percent deposit confirms the briefing or atelier date. No-shows for ateliers or clinics without prior notice forfeit the deposit. Remaining balances are not collected for the missed session; a new booking requires a new deposit.
Work already started
If analysis or preparation has begun, fees for completed stages remain payable. Unused later stages may be credited toward a rescheduled date within sixty days.
Materials
Client exports are returned or deleted according to the engagement agreement. Reason Flowcore templates remain our property and are not refundable as separate goods.
